POSITION SUMMARY
 
The Manager, Events is responsible for the planning and execution of all non-ticketed events. Leads an events service team in exceptional guest service and ensuring success for corporate, non-profit, and social events. Collaborates with internal teams and external vendors on all event details to create memorable events.  
 
ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES
 
  • Produce/execute all non-ticketed events and rentals booked into the Dr. Phillips Center. Secure all event details. Support clients in creative planning of space, audio visual, parking and permitting. Create detailed banquet event orders; floor plans; and “run of show” for all assigned events.  Ensure accuracy of all event paperwork submitted to clients, internal and external teams. 
  • Create estimates outlining the services or equipment requested to ensure event stays in line with client’s budgets.  Maximize event revenue in collaboration with the Sales Manager or Programming team by identifying upsell opportunities.
  • Provide exceptional customer service to all clients.  Provide a timely response to all client emails and phone calls.  Host and entertain clients; conduct facility tours for clients and 3rd party vendors.
  • Plan, manage and distribute all event information, production details and schedules to operational teams. Host and attend internal meetings with operations teams to review all event details in preparation for the event. 
  • Coordinate with external vendors on pre-event discussions, onsite event direction and post event communication.
  • Submit invoices to clients according to the payment schedule and to finance for services or rentals pertaining to the event. 
  • Be on-site to provide client liaison and leadership to operations teams and vendor coverage during event set up, event and event breakdown/cleanup. Responds and handles all guest related needs as the manager on duty. 
  • Conducts post event meetings with departments to review successes and opportunities which occurred during event. 
  • Oversees internal events, related expenses, and invoices for accuracy. 
  • Develop industry relationships and attend related trade shows, meet-ups, and other networking events.
  • Able to remain calm under pressure.  Ability to work effectively with internal and external customers, some of whom will require high levels of patience, tact, and diplomacy.  Maintain Dr. Phillips Center standards of customer service at all times.
  • Able to effectively communicate in English in both written and oral forms.
  • Other duties as assigned.
 

KNOWLEDGE AND EXPERIENCE

  • Associate’s or Bachelor’s degree in Events, Hospitality, Business Administration, or related field strongly preferred.
  • Minimum of 3-5 years event related planning, management, food & beverage, sales and production experience. CMP strongly preferred. 
  • Office system skills (incl. Excel, Word, PowerPoint, Outlook, Teams)
  • Event Industry Software knowledge (ArtsVision, Tripleseat and Social Tables a plus).
  • Ability to plan, prioritize, organize and multi-task in a fast-paced environment. 
  • Creative problem-solving skills and high enthusiasm for the events industry.  
  • Outstanding interpersonal, client relations and guest service skills. Expertise serving sophisticated clientele.
  • Strong work ethic with limited supervision.
     
SPECIAL CONDITIONS OF EMPLOYMENT
 
  • This position requires the ability to work a variable schedule to include evenings, weekends, and holidays to meet operational needs.
